CoachBase (“CoachBase,” “we,” “us”) provides software that helps youth sports coaches manage rosters, stats, schedules, lineups, and family communication. This Privacy Policy explains what we collect, how we use it, and the choices you have. By using CoachBase you agree to this policy.

1. Information we collect

We collect:

Account information — your name and email when you create a coach account.
Team and player data you enter — player names, jersey numbers, positions, stats, photos, and notes you choose to add. Some of this may relate to minors (see “Children's information” below).
Family contacts — parent/guardian names, emails, and phone numbers you add so families can be invited and messaged.
Content you upload — for AI video analysis, your device samples still frames in the browser and sends those frames (not the raw video) for analysis.
Payment information — handled by our payment processor (Stripe). We never receive or store full card numbers.
Usage data — basic analytics about how the product is used (pages visited, features used, device/browser), to improve the service.

2. How we use information

To provide and operate CoachBase (accounts, stats, schedules, lineups, messaging, family pages).
To generate AI insights, lineup suggestions, practice plans, and video feedback you request.
To send transactional emails (family invites, message notifications, reminders).
To process payments and manage subscriptions.
To secure, maintain, and improve the service.

3. Children's information

CoachBase is intended for use by adults (coaches and parents/guardians). We do not knowingly allow children to create accounts. Coaches and guardians may enter information about minor players (such as name, jersey number, and stats). If you add another person's information — including a minor's — you confirm you have the authority and any necessary consent to do so. We act as a service provider processing that information on the coach's behalf. If you believe a child's information has been provided without proper consent, contact us at support@coachesbase.com and we will delete it.

4. Family share pages

Coaches can generate a private, link-based family page for a player. Anyone with the link can view that player's shared stats, schedule, and coach-shared notes — so coaches should share links only with that player's family. Links contain a long random token and can be rotated by the coach, which disables the old link.

5. Service providers

We share data with vendors who process it on our behalf, only as needed to run CoachBase:

Supabase — database, authentication, and file storage.
Stripe — payment processing.
Anthropic — AI analysis of stats and sampled video frames.
Resend — transactional email delivery.
PostHog — product analytics.
Google — optional “Sign in with Google” (only if you use it).

We do not sell your personal information.

6. Data retention & deletion

We keep your data while your account is active. You can edit or delete teams, players, and contacts from within the app, or request deletion of your account and associated data by emailing support@coachesbase.com. Some records may be retained as required for legal, tax, or security purposes.

7. Security

We use reputable infrastructure providers and reasonable safeguards to protect your data. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.

8. Your choices

You may access and update most information in the app. Depending on where you live, you may have rights to access, correct, or delete personal information — contact us at support@coachesbase.com to make a request.

9. Changes to this policy

We may update this policy from time to time. We'll revise the “Last updated” date above and, for material changes, provide additional notice where appropriate.
